Help with your order form

Please see the following list of FAQ's for help completing your order form from 123Hire.

1 – What do I do with the order form that has been sent to me?

Please print, check and sign the document. Scan and email the document back to us no later than 7 working days before the requested on hire start date. We must have a minimum of 7 working days notice to process an order as this is the lead time imposed on us by the banks.

2 – What is the On hire date

This is the first day that you can start using the terminal - we deliver the day working day (Monday - Friday) before this date as standard.

3 – What is the Off hire date

This is the last day you can use the terminal. The terminal can still be used up to midnight on the off hire date. You need to send the terminal(s) back the following working day to avoid any late fees.

4 – When and where will my terminal be delivered?

We will deliver the terminal to you one working day before the on hire date between the hours of 8am-midday unless specified otherwise. The consignment is delivered by courier and needs to be signed for. The terminal will be delivered to the customer address by default unless another address is specified in the delivery address box.

5 –  How do I return my terminal(s)?

If you have hired between 1-3 terminals then you can return the machine(s) to us in the prepaid Royal Mail bags that we will supply you with the terminals

If you have hired 4 or more terminals then please call us at the end of your hire and WE will then arrange collection of the machines from you

6 – What is a Merchant Number

Your merchant number is your unique number that allows you to process card payments. To use a credit card machine in a face to face environment, you must have the Electronic type and not an E-commerce Merchant Number. We or your business bank can assist you in setting this up if you do not have this facility already in place. Please allow 3 weeks to set this up. The merchant number is not to be confused with your business bank account no. which is different. You need a bank account AND a merchant account in order to accept card payments face to face.

7 - What about Amex and Diners

If you would like to be able to accept payment by Amex and Diners, you will need to set up separate merchant accounts for this purpose.

8 – Why do I need a Merchant Number.

The banking system is set up in such a way that you cannot trade without this facility. The merchant account is a link between your terminal and the bank account where the sales will be credited to. It allows the bank to recognise the sales that you make as your sales, and ensures that you receive the funds correctly and in a timely manner.

9 – What is the Till Roll Text

The till toll text appears at the top of the sales receipt on both the merchant and customer copies. Each line (3 lines in total) can accommodate 22 characters. The first line needs to be the company name that the merchant no. is assigned to. Lines 2 and 3 are free type lines where you can enter anything that you might deem useful to either you and/or your customer.

10 – How much notice do you require for my order

You MUST give us a MINIMUM of 7 working days notice. We cannot guarantee deliveries requested less than 7 workings days before the delivery date. All orders are subject to availability. 

11 – What if I change my mind about hiring a terminal from you

If you cancel within 3 days of the delivery date (one working day before the indicated on hire date) then a £50 charge per terminal will be applicable. If the order is cancelled 4 days or more before the delivery date there is no cancellation fee applicable.

12 – Hire cover

This is a non mandatory option that we highly recommend. It covers you against accidental damage, loss or theft – the terminals are valued ay £695 + VAT so you may be liable for all or part of this amount in the event of accidental damage, loss of theft if you do not take out this option.

13 – How do I pay for my hire

There is a minimum  £250 deposit per terminal applicable on short and mid term hires (1 day - 3 month contracts). This is taken in advance of the hire by credit or debit card or by BACS trasnfer. When the terminal(s) are returned, we subtract the actual hire and associated cost (as indicated on your order form plus any late or repair fees) from the deposit and you then receive back the difference.

We do not require the deposit + hire invoice value up front. We only require the deposit in advance

14 – What is network coverage

Our standard GPRS single network terminals utilise the public mobile networks in order to communicate with your bank. This is subject to fluctuation and signal strength in different locations. We recommend you check the signal strength available in the location that you plan to use the machine prior to booking your terminal. NB We cannot make any guarantees about network coverage as we have no physical control over this as it is regulated by the mobile phone operators. We can offer you a roaming SIM which enables your terminal to connect to ALL the networks instead of just one network but again this is subject to single strength and capacity of the different mobile networks in your planned areas of use.

15 – Do you offer terminals that connect via other means

Yes. We can supply you with terminals that connect via hard wired phone lines and via an Ethernet cable into an IP (internet) connection. Please contact us for more details to discuss the best solution for your hire - you can compare products here
